Each collection is based on one data schema, giving structure to the records in a collection. A data schema is based on an a data template. In the Collection Manager you can have many different templates and when building a collection choose one to base the collection schema on.

Templates are comprised of fields and sometimes of field groups. Often just having fields is enough. Field groups are just that- groups of fields, a nice way to organize common content. For example, you could have a field group called "Creator" and in this group would be fields related to "Creator", such as "Creator Date", "Creator Nationality", etc. In the LUNA Viewer these field groups will display and the fields will be listed below them.

Repeating Fields

In the Record Editor the only way to create repeating fields is if they belong to a field group. In the example below you see a field group with the fields title, data, date_details, type, format, description, and order repeated twice. Visit Record Editor help section for additional information on repeating fields.

Authorities

Authorities are a helpful way of providing data catalogers with a list of controlled vocabularies. This helps ensure data consistency across a collection. With the right permissions you can create new authorities, and upload a .csv list of authorities. Catalogers would then easily pick from the list of available data. Authorities are managed in the Library.

To create an Authority:

  1. Create and name a field group.
  2. Check the "Authority Field Group" box. All the fields in that field group will then be associated with that authority.

In the example below the "Location" field group is an Authority so the fields "City", "State of Provence", "Country" and "Country code" can all be populated with data from that specific "Location" authority.

Authority Permissions

Managing the permissions for authorities is a little different than managing other features like editing a data record.   If you create a collection you'll automatically have read, add, edit, delete permission for authorities. For all other users you'll need to manually add the permission to the appropriate collection access permission in their credential. Unlike other features, there are no defaults for authorities in the various profiles.
